What is wedding coordination?
It is not the job of a Wedding Coordinator to conceptualize and plan a wedding. That is a wedding planner's purview. They are also not responsible for the theme and decoration of a wedding. That is a wedding designer's purview. On the contrary, wedding coordinators are commissioned to manage already made wedding decisions. They are simply there to make sure your plan is realized.
What does a destination wedding coordinator do?
To hire Poema as your destination wedding coordinator, we advise you to contact us six months before your wedding. However, if your wedding plans are elaborate, we advise you to seek our assistance earlier than that. Answering your contact request, we will arrange a meeting with you and your partner for a free consultation. During this meeting, we will discuss the level of involvement you require for the actualization of your wedding plans. If you decide that we are your perfect match, we will proceed with discussing our services in depth.
Even though our agency is located on the island of Santorini, we can operate as your wedding coordinator anywhere in Greece, like Athens, Mykonos or Santorini.

Create timeline
Based on what we discuss on our initial meeting, we will create a timeline of the upcoming wedding tasks. Then we will go forth and make sure that all vendors can confirm delivery in accordance to the timeline. If any discrepancies arise, we will update the timeline. As is expected, there will be adjustments, as long as they do not disrupt the timeframe.
Confirm contract deals with vendors
To begin with, we will go through all the contractual agreements you entered with the vendors you have chosen. We will contact them all, to make sure everything is as planned. Timewise as well as content, quality and quantity wise. Then, we will see if the tasks as planned are actually feasible within the timeframe. If not, we will make any adjustments necessary to meet the deadlines.
Confirm arrangements for guests
At the same time, we will go through all arrangements that involve the guests. The purpose of this task is to make sure everyone is accounted for (travel schedules, accommodation, special requirements). Any assistance you may require regarding your guests, we are here to help you.
Collateral event coordination services
As your destination wedding coordinator, we can also oversee the coordination of any additional events you have planned. We will go through with the vendors all planned activities in advance. Then, on the day of the events we will make sure everything is in place. We will make sure your guests are familiar with the events' itinerary. As well as foresee for their seamless transition from one event to the next.
On-site venue visits
As part of our bespoke coordination services, we will visit all venues to ascertain everything is as you have planned. While on site, we will make sure that the floor plans you have decided are functional. We will check the entrances to make sure that the sites are all easily accessible by all your guests. Furthermore, we can ensure that the transfer you have arranged to and from venues can easily accommodate all your guests. Thus, avoiding any potential discomfort.
Oversee wedding day tasks
Last but not least, on your wedding day, we can make sure that everything runs smoothly. As your wedding coordinators, we can ensure the successful execution of your wedding plans. Managing the suppliers and guests, we will coordinate all tasks before, during and after your marital ceremony. So, on the day, every final detail is in place, leaving you to enjoy your perfect day!
